Who we are
Outloop is an outreach and workspace application available at outloop-ai.com. In this policy, “Outloop”, “we”, and “us” refer to the operator of the Outloop service. You can contact us using our contact form or at enquiry@outloop-ai.com.
Information we process
We process the account and workspace details you provide, such as your name, email address, organization, support requests, and settings. Your use of Outloop may also create campaign drafts, lead lists, sent-message records, chat messages, and service activity records.
When you connect a Gmail account, we receive the authorization and mailbox information needed for the features you choose to use. Depending on those features, this may include your Gmail address, access and refresh tokens, message metadata and bodies, drafts, labels, and send or reply activity. We do not obtain your physical location from Gmail authorization.
Why we use this information
We use your information to authenticate you, operate your workspace, connect and synchronize an authorized mailbox, show messages and replies, prepare drafts you can review, send approved mail from the connected account, respond to support requests, maintain security, and meet legal obligations. We use only the access needed for the features you authorize.
Google API Services User Data Policy
Outloop's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.
We request the gmail.readonly scope to display and synchronize messages from the Gmail account you connect. We request the gmail.compose scope to create, manage, and send drafts and messages that you approve. These permissions do not allow Outloop to change mailbox labels or move messages between Gmail folders. The permissions requested in the Google consent screen determine the access you grant.
We do not transfer Google user data for personalized advertising. We do not use Google user data to train generalized artificial intelligence or machine learning models. We do not permit routine human access to Google user data; access is limited to exceptional cases necessary for security or legal compliance, with appropriate controls. We do not sell Google user data.
We use Google account information only to provide and improve the user-facing features you have authorized, protect the service, or comply with applicable law, consistent with Google API Services User Data Policy.
Service providers and AI features
Authorized processors may handle data on our behalf to provide hosting, authentication, email delivery, security, and the AI features you invoke. AI-assisted chat or draft features may process the prompts and relevant workspace context you submit to provide a response; we limit the context shared to what the feature needs. We do not allow processors to use connected Google account data for their own advertising or to train generalized AI models.
Security, retention, and choices
We use access controls and technical safeguards to protect stored data and tokens. No online service can guarantee absolute security. We keep information while needed to deliver the service and meet legitimate legal, security, and accounting requirements, and delete or de-identify it when it is no longer needed.
You can disconnect a Gmail account through Outloop and revoke its access in your Google Account permissions. You can request access, correction, or deletion of your information through our contact page. Disconnecting a mailbox does not necessarily remove records that must be retained for legal or security reasons; contact us if you need help with a specific deletion request.
